In order to support the Project Management Framework currently under development, our client needs an integrated tool that will help to better manage all aspects of a project;
The client also needs a corporate approach to projects including the use of project document templates and project stage-gate workflow process.
The tool will also reduce the burden on employees to produce manually various types of project related reports like portfolio and project dashboards.
TASKS/ SCOPE:
Phase 1: Installation
Installation of Clarity product and components to be installed on PSC infrastructure (which must include the following as a minimum):
- CA Clarity Version 12.0.6.5471 generic_016a 005
- Configuration files as provided by the project authority
- PMO accelerator
- Desktop scheduler connector (for interface with MS-Project)
- Productivity accelerator
- Business objects for reporting purposes
- Time reporting module
- Provide a backup and restore process instructions document explaining in details the procedure to do a backup and restore from one environment to another and from one database to another;
- Provide the installation instructions document including the database creation explaining in details the instructions at the command line level and the step-by-step procedure to be implemented for the installation of Clarity to the client infrastructure; this installation instruction document shall include accelerator packs, patches, connector and business object ; the disk space and memory required on the application server, report server as well as databases
- Install on client infrastructure, a development and production Clarity product and components as described above;
- With the support of the project team, install Clarity, the configuration files provided by the client, packs, business objects and other Clarity products and components as described above;
- Configure Clarity for user authentication using active directory;
- Ensure that the e-mail functionality is fully operational;
- Ensure that the reporting capability is fully operational ;
- In coordination with the contractor, the client will perform a user acceptance testing (UAT); any defects shall be corrected by the contractor to the project authority satisfaction;
- Document any defect identified in the UAT;
- Adjust the installation instructions document to include the defects with solutions identified during the user acceptance testing;
Phase 2: Configuration
- Assess and analyze the configuration as installed in phase 1, with the support of the detailed design document provided by the Project authority;
- Provide Gap analysis and recommendation report describing the configuration, the client requirements including the reporting requirements and the recommendations;
- Meet with the project team to discuss the approach of configuration;
- Produce a client Clarity configuration document based on client decision, explaining in details how the configuration will be implemented and what values are going to be input as well as how the required out-of-the-box reports will be adjusted;
- Perform the configuration in compliance with the approved client Clarity configuration document
- Clean the database of non-client data if required;
- Input all required values for the configuration;
- Enable the timesheet functionality;
- Insert in the collaboration space, the client projects documents templates and link them with RDIMS; the client will be using the Clarity functionality to store projects documents in the database with check-in/check-out functionality;
- In coordination with the contractor, client will perform a user acceptance testing (UAT) in English and French to ensure that all aspects of the configuration have been properly implemented; if any defect arise, the contractor shall analyze, correct the defect and update the client Clarity configuration document accordingly;
- Set up a pilot environment where the client team will be able to log as executive, portfolio manager, project manager, team and navigate through the modules;
- Adjust the environment in compliance with client requirements;
Phase 3: Training
- Develop the basic workflow training material for various types of resources (executive, portfolio manager, project manager, team member, etc.) including but not limited to user-based process flow diagrams to define what access groups have rights and access to perform what actions in Clarity;
- Deliver the training material to the Project Authority for feedback;
- Submit the final training material in English with the project team’s feedback to the Project Authority for his/her approval;
- Train the client trainers (maximum of 4) on training the end-user based on user role (executive, portfolio manager, project manager, team member) using the training material provided by the contractor and transfer the knowledge to the client trainers on the underlying design;
- Transfer knowledge of the installation and configuration to the administrator and provide basic maintenance training of the system;
